Under the authority of the Head of Office and the supervision of the Directorate General of Human Rights and Rule of Law (DG-I) of the Council of Europe in Strasbourg, the incumbent will provide administrative support to the Project team during the implementation of the project entitled “Global Action on Cybercrime (GLACY)”.
Employment is limited to the duration of the project which is expected to end in October 2016.
The project assistant will provide administrative support to the Project Manager and Senior Project Officer in compliance with general guidelines and priorities and with a concern for quality, efficiency, accuracy:
- prepares and follows up on draft purchase orders, administrative arrangements and contracts;
- makes travel and accommodation arrangements, assists in the reimbursement of travel expenses in accordance with relevant procedures; verifies cost of missions;
- undertakes missions in support of project activities;
- follows project finances;
- supports the practical organisation of meetings;
- prepares the production and distribution of documents;
- prepares, records, verifies, keeps all kinds of data, files, documents, statistics, data bases, websites, information and documentation tools etc. for specific purpose or on request;
- receives, reviews and dispatches incoming correspondence, e-mails and fax messages;
- reports to the supervisor on activities in progress and if and when problems occur;
- shares information between management and staff;
- drafts and formats standard correspondence, memos files and presentations in accordance with instructions, organizes file;
- assists in the editing of reports, reads and makes grammatical corrections of texts; checks translations;
- carries out other assignments under this project as necessary.
• Professional and technical competencies:
- Knowledge of the administrative procedures of the Council of Europe, notably concerning the drawing up and following up of contracts, invitation letters, service contracts, administrative arrangements and similar is an advantage;
- Layout and language editing of reports is an advantage.
